How Pickentra handles your information, the providers involved, and the choices and rights available to you.
Pickentra is operated by HCP Automation LLC dba HSP Automation. Questions? Contact info@pickentra.com.
1. Who we are and what this policy covers
This Privacy Policy explains how we collect, use, disclose, and retain information when you visit the Pickentra website, request access, use an account, submit a business website for review, receive AI visibility reports, or contact us. “We,” “us,” and “our” refer to the operator identified above. For information we collect to operate Pickentra, we determine how and why that information is used. Third-party websites and services have their own privacy policies.
2. Information we collect
- Account and business information: your name, email address, authentication identifiers, account membership and role, access-request status, business name, website, business location and service area, services, and profile information you submit or confirm.
- Website and report information: permitted public website text and business facts, approved buyer questions, AI answers, business and competitor names mentioned in those answers, citations, rankings, evaluations, recommendations, and the versions and timestamps needed to explain a report.
- Billing records: payment-provider customer and subscription identifiers, plan and payment status, renewal dates, and billing events. Stripe processes payment details; our application does not store full payment-card numbers or card security codes.
- Messages and service records: the name, email address, and message you send through our contact form, correspondence, report delivery records, and support or privacy requests.
- Technical information: request times, security and operational events, browser or device information, and network information such as IP addresses processed to deliver and protect the service. Hosting and authentication providers may also process this information.
- Optional measurement: if you allow it, public-page interactions, pseudonymous identifiers, approved campaign codes, and account-creation attribution. Optional measurement is separate from the information necessary to provide your account and service.
Some report information comes from publicly available business websites or AI-generated answers rather than directly from you. Public information can include information about other businesses and their representatives. Please do not submit passwords, payment-card details, sensitive personal information, or information you are not entitled to provide.
3. How and why we use information
We use information to manage accounts and access requests; extract a business profile for your confirmation; run authorized scans; produce, explain, and compare reports; process subscriptions; deliver enabled service communications; respond to messages; maintain security; investigate abuse; troubleshoot problems; and meet legal obligations. We may use service feedback and appropriately aggregated information to improve Pickentra.
Where a law requires a legal basis, our bases may include performing our agreement with you or taking steps at your request, legitimate interests in running and securing the service balanced against your rights, legal obligations, and consent for optional measurement where required. You can withdraw optional consent without losing essential sign-in or checkout.
4. AI processing and website review
When an authorized scan runs, approved questions and relevant business information are sent to our AI processing provider, currently OpenAI, using the service infrastructure configured for Pickentra. We retain answers, citations, and evaluation evidence to show how a report was produced. AI providers process requests under their own service terms and data practices. We do not train our own AI models on your account information or contact messages.
PickentraBot performs a bounded initial review of a public business website at a customer’s request. It does not sign in or submit forms and honors supported robots.txt exclusions. Customer confirmation is an attestation, not independent proof of website ownership. See our crawler policy for the limits and exclusion instructions. We do not control the original public websites or an AI provider’s independent answers.
5. When we disclose information
- Service providers: we use Replit for application infrastructure, Clerk for authentication, Stripe for billing, OpenAI for enabled AI processing, and Resend for enabled service-email delivery. Optional analytics may use Google Analytics when configured and permitted by your choices. Providers receive the information needed for their functions and operate under their applicable agreements and policies.
- Your account: authorized account members and platform administrators can access information their roles permit. Contact-form submissions are available to authorized platform administrators, not other customers.
- At your direction: we may disclose information when you request it or use a feature that requires it.
- Legal and safety reasons: we may disclose information when reasonably necessary to comply with law or valid legal process, protect rights and safety, investigate abuse, or enforce our terms.
- Business transactions: information may be transferred in a merger, acquisition, financing, or sale of business assets, subject to applicable legal protections and notice requirements.
We do not sell or rent personal information, and we do not share it for cross-context behavioral advertising. Advertising tracking is currently off. We do not publish your private account information or contact messages as part of a public sample report.
6. Cookies, browser storage, and your choices
Essential cookies and similar technologies support authentication, security, request protection, and your saved preferences. Optional analytics and campaign attribution are off unless you allow them. You can accept, reject, or change those choices using Privacy preferences at the bottom of the website. Analytics and attribution can be chosen separately.
We remember privacy choices in your browser for up to 180 days. Approved campaign attribution has a 30-day attribution window. Choices are browser-specific; clearing storage or changing browsers may require you to choose again. Blocking essential storage may prevent sign-in or other necessary features from working.
Withdrawing consent stops future optional measurement controlled by that choice; it does not automatically undo earlier lawful processing or delete records already received by a provider. Contact us if you also want to request deletion. Optional tracking is not a condition of service, and sending a contact message does not subscribe you to marketing emails.
7. How long we retain information
We retain account information, business profiles, report evidence, and service records for as long as reasonably needed to provide the service, maintain useful report history, address requests and disputes, protect against abuse, and meet legal obligations. Contact messages are retained as needed to respond and keep an appropriate record of the inquiry. Billing, tax, and legal records may need to be kept longer than other data.
Canceling a subscription does not itself delete your account or reports. Request deletion separately using the contact details below. We assess deletion requests in light of applicable law, security needs, and legitimate retention requirements. Backups and provider-held copies may remain until their applicable retention cycles expire. We do not promise immediate deletion from every backup or third-party system.
8. Access, correction, deletion, and other rights
Depending on your location and applicable law, you may have rights to request access to, a copy of, correction of, or deletion of personal information; restrict or object to certain uses; withdraw consent; or appeal a decision about your request. You may also have a right to complain to the relevant data-protection authority. We do not discriminate against you for exercising rights available under applicable law.
Send requests to info@pickentra.com or use our contact form. Explain your request and identify the account or information involved. We may need to verify your identity or authority before releasing or changing information. Do not send passwords or verification codes. We review requests and respond within the period required by applicable law; some requests may be limited by other people’s rights or legal obligations.
9. Security and international processing
We use technical and organizational measures intended to protect information, including access controls and safeguards against unauthorized requests. No internet service, transmission, or storage system can be guaranteed completely secure. Please keep your credentials private and report suspected unauthorized access promptly.
We operate in the United States, and our providers may process or store information in the United States or other countries. Those countries may have different privacy laws from your location. Where applicable law requires transfer safeguards, those requirements apply to the relevant processing. Contact us with questions about international handling.
10. Children
Pickentra is a business service intended for adults age 18 or older, not a service directed to children. We do not knowingly collect personal information from children under 13. If you believe a child has provided information, contact us so we can investigate and take appropriate action.
11. Policy changes and contact
We may update this policy as the service or legal requirements change. We will revise the date above and provide additional notice or obtain consent when applicable law requires it. For privacy questions, requests, or concerns, contact info@pickentra.com.
